Clarendon Tire LLC ("Clarendon Tire," "we," "us," or "our") is a tire and automotive service business located at 3237 Wilson Blvd, Arlington, Virginia 22201. We respect your privacy and want you to understand what information we collect, why we collect it, and the choices you have.
This Privacy Policy applies to information we collect when you visit our shop, use our website at clarendontire.com, schedule an appointment, receive services, or communicate with us by phone, text message, or email. By providing your information to us, you acknowledge the practices described in this Policy.
2. Information We Collect
We collect only the information we need to serve you well. This includes:
- Contact Information: Your name, mobile or home phone number, email address, and mailing address.
- Vehicle Information: Make, model, year, mileage, VIN, tire size, and prior service history for the vehicle(s) you bring to us.
- Service & Transaction Records: Work performed, parts and tires used, estimates, invoices, and payment history. We do not store full payment card numbers; card processing is handled by our payment provider.
- Appointment Records: Scheduled service dates, requested services, and cancellation history.
- Communication Records: Text messages, phone calls, and emails between you and Clarendon Tire, along with records of your consent to receive those communications (date, channel, and scope).
- Website Information: Basic technical information your browser sends automatically, such as IP address, device type, and pages visited. See Section 6.
3. How We Use Your Information
We use the information we collect to:
- Provide, document, and invoice the services you request.
- Schedule, confirm, and remind you about your appointments.
- Notify you when your vehicle is ready for pickup.
- Maintain accurate service and vehicle history records so we can recommend appropriate maintenance.
- Send promotional offers and seasonal promotions, but only if you have opted in.
- Request reviews or feedback after a completed service.
- Process payments and manage billing.
- Comply with tax, financial, and other legal obligations.
- Protect our customers, staff, and business from fraud or misuse.
4. SMS & Text Message Communications
4.1 What We Send
If you provide your mobile number and consent to receive text messages, we may send you:
- Appointment confirmations and reminders.
- Service reminders (e.g., tire rotation, alignment, inspection due).
- Vehicle-ready notifications when your service is complete.
- Review requests after a completed service.
- Promotional messages about specials and seasonal offers — only if you opted in to marketing.
4.2 Frequency
Message frequency varies based on your appointments and service history. Most customers receive no more than 4–8 messages per month.
4.3 Message & Data Rates
Standard message and data rates from your wireless carrier may apply. Clarendon Tire is not responsible for carrier fees.
4.4 How to Opt Out, Get Help, or Opt Back In
- Reply STOP to any text message to unsubscribe. You will receive one confirmation message and no further marketing texts.
- Reply HELP for assistance, or email service@clarendontire.com.
- Reply START or contact us to opt back in after unsubscribing.
If you opt out of marketing texts, you may still receive non-marketing service messages (for example, a reminder about an active appointment) until that service is complete.
5. Phone Calls
We may call you about appointments, service updates, or estimates. To stop marketing calls, let us know in person, by phone at (703) 524-7622, or by email at service@clarendontire.com. We will continue to call you about active services or matters where we are required to reach you.
6. Website, Cookies & Analytics
When you visit clarendontire.com, our web servers and analytics tools may automatically log your IP address, browser type, device information, referring URL, and pages viewed. We use this information to keep the site working, measure traffic, and improve content.
Our website may use cookies and similar technologies for these purposes. You can disable cookies through your browser settings, although some parts of the site may not work properly without them.
We do not use our website to sell personal information or run targeted advertising programs that profile our visitors.
7. How We Share Your Information
We do not sell your personal information. We share information only in the following limited circumstances:
- Service Providers: Trusted vendors who help us operate the business — such as our customer management software, SMS and email delivery providers, and payment processors. They may only use your information to perform services for us.
- Legal Requirements: When required by law, court order, subpoena, or a request from a government authority.
- Protecting Our Rights: When necessary to protect the safety, property, or legal rights of Clarendon Tire, our staff, or our customers.
- Business Transfers: If our business is sold or merged, customer information may transfer to the new owner, who must continue to honor this Policy or notify you of any changes.
8. Data Retention
We keep customer and vehicle service records for as long as we have an active relationship with you and as needed to provide services or maintain a useful service history. Specifically:
- Financial and invoice records: retained at least 7 years to comply with tax and accounting laws.
- SMS and communication consent records: retained at least 4 years (the federal TCPA limitations period) to document your opt-in.
- Service history: retained as long as it remains useful for your vehicle's maintenance, unless you ask us to delete it.
You may ask us to delete your information at any time. We will honor that request, except for records we are legally required to keep.
9. Data Security
We use reasonable physical, technical, and administrative safeguards to protect your information. Access to customer data is limited to authorized staff. No system is perfectly secure, however, and we cannot guarantee that your information will never be lost, accessed, or disclosed by unauthorized parties. If we become aware of a breach affecting your information, we will notify you as required by law.
10. Your Privacy Rights
You have the right to:
- Ask what personal information we have about you.
- Request a copy of that information.
- Correct information that is inaccurate.
- Request deletion of your information, subject to records we are legally required to keep.
- Opt out of marketing communications at any time (reply STOP to any text, or contact us directly).
- Withdraw your consent to SMS or phone marketing at any time, without affecting the lawfulness of communications sent before you withdrew consent.
To exercise any of these rights, email service@clarendontire.com, call (703) 524-7622, or visit us at the shop. We will respond within 45 days. We may need to verify your identity before fulfilling your request, typically by confirming information already on file.
11. Virginia Consumer Rights (VCDPA)
If you are a Virginia resident, the Virginia Consumer Data Protection Act gives you additional rights, including the right to confirm whether we process your data, access your data, correct inaccuracies, request deletion, obtain a portable copy, and opt out of:
- The sale of your personal data;
- Targeted advertising; and
- Profiling that produces legal or similarly significant effects.
Clarendon Tire does not sell personal data, conduct targeted advertising, or perform consumer profiling, so opt-out requests for these activities are not necessary — but you may submit them and we will confirm in writing.
Right to Appeal. If we decline a privacy rights request, you may appeal by emailing service@clarendontire.com within 60 days of our response. We will review the appeal and reply within 60 days. If your appeal is denied, you may contact the Virginia Attorney General at oag.state.va.us.
12. Children's Privacy
Our services are intended for adult customers. We do not knowingly collect personal information directly from children under 13. If you believe a child under 13 has provided us with personal information, please contact service@clarendontire.com and we will delete it promptly.
13. Changes to This Policy
We may update this Policy from time to time. The "Effective Date" at the top reflects the most recent revision. If we make material changes, we will post a notice at the shop, on our website, or send a direct communication to customers we have on file. Continued use of our services after the Effective Date means you accept the updated Policy.
